The Whole U is partnering with the Seattle Visiting Nurse Association to offer flu shot and COVID-19 booster vaccine clinics across our campuses this fall.

Everyone attending a clinic must register for an appointment with SVNA.

COVID-19 Boosters

The updated COVID-19 booster vaccine for 2023-2024, manufactured by Moderna, will be provided at The Whole U vaccine clinics. This booster is eligible for ages 12 and up. Read a fact sheet about the new booster.

Important note – 10/5: Kaiser Permanente has adjusted their COVID-19 booster policy and WILL be covering COVID-19 boosters at the UW campus clinics.

Flu Shots

Faculty and staff: Those enrolled in UW-provided PEBB health plans (Uniform Medical and Kaiser), plus graduate students enrolled in the Graduate Appointee Insurance Program (GAIP), can obtain a free annual flu shot as allowed under the plans’ preventive care coverage.

If you are not insured by UW, follow the steps to make an appointment to see if your insurance is accepted by SVNA. If not, you can choose to pay $50 out of pocket through the online form.

Students: Students are welcome to attend any flu shot clinics. When registering for your appointment, enter your insurance information. If you are not insured, you can choose to pay $50 out of pocket through the online form.

UW Medicine employees: UW Employee Health offers clinics at the UW medical centers for medical center staff. Please refer to your hospital employee health department for information about medical center clinics.

How to Make An Appointment

Registration is required: Find a clinic that works with your schedule and register for an appointment with the Seattle Visiting Nurse Association.

Are you required to receive a vaccine for employment at your department? If so, be sure to bring this form with you to your appointment. Inquire with your supervisor or UW Employee Health if you are unsure. All UW Medicine employees are required to get a flu shot.

The online registration will ask you for insurance information. Have your insurance card ready. On the date of your clinic, arrive to the clinic at your appointment time and check-in. You will receive a confirmation email from SVNA to confirm your appointment. You can view a full list of clinics below.

Patients paying out of pocket will be invoiced after receiving their immunization. Payment can be made electronically by debit/credit card. No payment will be accepted at the time of service.

What do I need to bring with me?
1. Photo ID
2. Appointment confirmation email, nurses can also look you up by name or phone number.

What insurance providers are accepted at the clinics?
SVNA accepts all health insurance plans for flu immunizations except Cigna, TriCare, and out-of-state Blue Cross Blue Shield plans. If you have health insurance, you must provide that information during registration. SVNA will bill your insurance plan for your immunization following the clinic. Questions about your insurance? Please contact SNVA at info@seattlevna.com

Do I need to register for a clinic?
Registration is required to secure your appointment time and help us safely distance from one another. Register for each of the clinics at the link provided above. When you register, you will also enter your insurance information.

Can my family come with me?
Yes, dependents can attend a vaccine clinic. Age limits for children depend on the vaccine. You must sign up each member of your family individually. Questions? Please contact SNVA at info@seattlevna.com

Flu vaccine: Children must be at least age 4 to receive a flu shot at The Whole U clinics. Please consult your health care provider when deciding at what age to begin vaccinating your children for the flu at an offsite public clinic setting.

COVID-19 booster: Children must be at least age 12 to receive the updated booster at The Whole U clinics.

What type of flu vaccines are available? Are preservative free vaccines available?
SVNA uses Flucelvax Quadrivalent vaccine, manufactured by Seqirus for most patients. Each nurse will also have a supply of preservative-free vaccine, which can be made available at a patient’s request.

Where can I get proof of my flu shot vaccination?
Employees who require documentation of their vaccination should be sure to request a proof of vaccination form at the time of service. For lost or forgotten forms, email the vendor directly and request a copy to be sent to you. You’ll need to provide your full name, as well as the date and place where you received your campus flu shot. Contact the Seattle Visiting Nurse Association at info@seattlevna.com

Where can Harborview or UW Medical Center employees get a flu shot?
Harborview and UW Medical Center offer their own flu clinics for medical center staff. Harborview employees should contact HMC Employee Health Service at 206-744-3081 for more information. UWMC employees should contact UWMC Employee Health at 206-598-4848 for more information.

Where can UW Health Sciences students get a flu shot?
UW Health Sciences students are required to receive annual influenza vaccination (or meet the waiver requirements) each year. Details about how to meet the requirement are available on the Health Sciences Immunization Program (HSIP) website.

Where else can I get a flu shot?
Most local pharmacies and several grocery store chains offer the seasonal influenza vaccine. While most providers will bill your plan directly, double check their billing method before getting vaccinated. To see a list of flu shot clinic locations, go to Flu Vaccine Finder.

18 Thoughts on “Flu Shot & COVID-19 Booster Clinics 2023”

This new type of flu vaccine administration plan, where there is only one day at different locations seems very difficult, especially for people who only come in to work on certain days. Only one day at the Montlake building to vaccinate thousands? Seriously?? The lack of drop in clinics at the main hospital is frustrating. I feel that it is going to make compliance more difficult and is going to make more employees have to look into the community to get their shot which is just one more burden in our already hectic lives. Why change something that worked well in the past?

Hi Karen, these flu shot clinics are offered to help non-medical center faculty and staff across the University of Washington have convenient access to influenza vaccines. They are not the official UW Medical Center influenza clinics for UW Medical Center staff, which are offered by UWMC Employee Health and will begin on Oct. 3 alongside a full campaign across the hospital. You can visit the UWMC Employee Health intranet webpage or call 206.598.4848 for more information on the UW Medical Center Clinics. All UW Medical Center employees should look to UW Medical Center Employee Health for your influenza vaccine.

These clinics hosted by The Whole U have historically only been hosted at the Health Sciences Building one one day. We are monitoring appointments, and if they fill will look into offering more clinics for the Health Sciences/South Campus faculty and staff. The last few years we were only able to offer limited number of clinics due to COVID-19, and this year are excited to offer 18 clinics in total across 6 UW places of work. I hope this helps distinguish the difference in clinics. Please feel free to reach out via email at ategel@uw.edu if you have additional comments or questions.

The scheduling seems very convenient for staff working on upper campus (scheduling at HUB or Tower) or at Renton Virology but the list of clinics provided in this notice 9/6/23 shows no scheduling in South Campus to serve non-medical-center research and education staff (Magnuson HSB, HS Education, Hitchcock, Foege, Ocean Sciences, Ocean Teaching, Ocean Research, Oceanography, Marine Studies, Marine Sciences, Fishery Sciences, South Campus Center, Portage Bay Bldg, CHDD, Hearing Center, Harris, Wallace). Thanks for the currently scheduled clinics, but there seems to be room for improvement by the people arranging these clinics to find a broader view of the campus that recognizes there is much more to south campus than just the medical center.

Hello, thank you for your feedback. We are working on bringing more clinics to south campus and the list will be growing soon.

If I have already signed up for a flu shot clinic, is there a way to add the COVID-19 booster to that? Should I just sign up on another day for the booster?

On September 13, 2023 at 1:11 PM, Anna Tegelberg said:

Hi Sarah, if you’d like to receive both a flu shot and a COVID-19 booster, when you first begin making your appointment, be sure to select from the dropdown box the option that says “Flu Shot & Covid-19 Booster”. If you select this option, you will book an appointment for both shots. Otherwise, you can choose to make separate appointments for both shot individually based on your own schedule and preference.

The website seems to not work on my desktop or phone, to complete the process to book an appointment. I got all the way to the end of the process where I clicked “I am not a robot” and “Confirm and Submit” but it refused to confirm. Is it possible to make an appointment in any other way?

On September 13, 2023 at 1:10 PM, Anna Tegelberg said:

Hi Nancy, I’m reaching out via email to support. Sometimes using a different browser or clearing your browser history can fix the issue. I’d recommend giving Chrome a try if you have not already.

Just want to make sure that we can get both vaccinations (Flu and the COVID booster) during the same appointment. Yes, I realize that I might not feel great afterwards, but it would really help with scheduling. Thanks!

I just want to confirm that we can get BOTH the flu vaccine and COVID booster during the same appointment. Thanks!

On September 13, 2023 at 1:08 PM, Anna Tegelberg said:

Hi EC, confirming yes, you can do both in the same appointment. When making your appointment, be sure to begin the process by selecting the option “Flu Shot & COVID-19 Booster”. This will then book your appointment as a double shot appointment.

The most comment insurance for UW students, LifeWise (like the Graduate Appointee Insurance Program (GAIP)), is not listed in the dropdown payment list . Should all UW students just select “Out of pocket” and be invoiced after receiving their immunization? This is super inconvenient even if the pop-up clinnics are located on campus. Students might as well receive their flu & COVID shots at UW Hall Health where their insurance is accepted.

On September 13, 2023 at 1:06 PM, Anna Tegelberg said:

Hi Neal, thank you for your comment. LifeWise is an accepted insurance at these clinics. The option in the dropdown menu that should be selected is “Graduate Appointee Insurance Program”. We have asked that LifeWise be added in parentheses next to that option to help clarify.

What brand/version of COVID 19 booster are going to be provided? I’ve had all Pfizer-BioNTech from Kaiser so I would like to keep it all the same for medical records

On September 13, 2023 at 12:56 PM, Anna Tegelberg said:

Detailed information about the booster shot being provided will be added to the webpage as soon as we are given the final details on which version SVNA is receiving. We should know very soon. Thank you for your patience!
